The Kansas City School District’s paycheck audit doesn’t begin until today, but at least two cases of errant paychecks have already been uncovered.
The discoveries came as staff was figuring out how it would hand-deliver some 3,300 checks this month, said Steve Harris, assistant superintendent of human resources.
In both cases, the employees had been let go when the district cut staff for the current school year, but they were still getting paid, Harris said.
“We’ve sent a letter letting them know we’re discontinuing” the paychecks, Harris said. “And we’ve requested they pay the money back.”
How many more wrongly directed checks the district will discover remains to be seen.
“I’d be surprised if there are many more,” Harris said.
But the district is conducting the audit because no one can tell for sure, Harris said, and that needs to change.
“The big lesson here is that central office needs to be more systematic in how we do (the payroll) process,” he said. Too many personal phone numbers for contacting employees don’t work, he said. Addresses are old.
District officials had considered having a central location where employees would have to pick up their paychecks. But the district said it now believed it would work better to send teams to various work sites to deliver the checks.
Today the district will start delivering checks to classified employees, who are paid hourly. Certified employees, including teachers, will go through the audit Nov. 23. Employees will have to present themselves, along with driver’s licenses or other photo identification, to get their checks. They also will have to provide current contact data. Those absent today will have to pick up their checks. Staff also will arrange deliveries or pickups for employees on leave.
Superintendent John Covington called for the audit, saying administrators needed an accurate count of how many people worked for the district.
